TIPS FOR HIRING PROFESSIONAL TALENT

Whether you are a videographer, photographer or other creative, chances are you opened this blog to learn more about booking talent for your projects! Our team has worked on productions for over 10 years and have a wide range of experience booking and managing talent, so let’s dive in!

First things first - what is “professional” talent?

When we refer to “professional” talent, we typically mean working with an agency to hire models, actors, etc. that have experience being on camera! There is absolutely nothing wrong with using friends or family for your projects (trust us, we have been there), but if you are looking to level up a project, hiring talent that has experience can be a total game changer! 

Finding and booking talent can definitely seem overwhelming at first. To get you started on the process, we are breaking down our top 3 tips for sourcing + managing talent. 

  1. Budget

This is definitely the first thing you want to review before approaching any talent. If you plan to go the professional/agency route, you want to make sure you have the budget for it! Here are some things to think about when building your or your clients’ budget - 

  • Time + location - How long will talent be needed? Will there be any travel involved? All of these details will impact the budget.

  • Usage + duration - Where and how long will final products be used? Web, print, broadcast, etc. - these are all details you need to hash out before finding talent. 

  • Agency fees - If you are going the agency route, always leave room for an agency fee - typically these are around 20%.

2. Talent demographic 

Next thing you want to determine is what your talent looks like. Who do you want to represent the characters on screen? Examples - age, gender, race/ethnicity, style, etc. Putting together a list of requirements for who the talent is will definitely help make your search easier! Plus, agencies love when you know exactly what you are looking for - it makes their job much easier!

3. Managing talent

Once talent is secured, our next tip is to make sure you provide them with allllll the necessary information for the shoot. Professionals know to come to set prepared and ready, but giving them all the details prior will make your project run that much more smoothly! Here are some tips on things to provide prior to shoot - 

  • Location + call time

  • Theme + shoot details

  • Character details - Who are they? What are they portraying on screen? Do they have any speaking lines?

  • Wardrobe details - If you aren’t working with a stylist on set that is providing wardrobe, we always recommend sending talent a mood board so they know exactly what you are looking for. Think outfit inspo, colors, patterns, etc. 

  • Hair + makeup - Are you providing hair + makeup? Are they doing hair + makeup on own? If so, what is the look you are going for? 

The more information you provide to talent, the better the on set experience will be for everyone involved!

If you are new to the world of video production, you may think it is as easy as pointing a camera at something and filming, but there are countless other steps that go into each production and client we work with. Every video production company has their own systems and strategies in place when it comes to producing video, but one thing that is pretty standard are the 4 stages of each production - discovery, pre-production, production and post production. 

Today we are breaking down each stage, how our team completes everything and some of our biggest tips to creating an amazing client experience. 

STAGE #1 - DISCOVERY 

This first stage is when a client first reaches out. At The Good Vibe Media, the majority of our leads come directly through our website. Whether a client is reaching out for a brand project, event or wedding - we try to funnel everything through the client forms on our website! But regardless of how a potential client reaches out, they always receive our base package for that project, plus a link to book a discovery call. We try to give as much information as possible up front, so if a client is really interested in moving forward, they then book a discovery call.

On these calls, we meet the client, learn more about their specific project, chat about some of the logistics + creative details and of course, answer any questions they may have about our team or workflows! Here are some other things we pay attention to during the discovery call process - timeline, budget, location of project, talent needs, client goals and wants, and more! This is our time to really get to know each other and make sure we are a good fit for each other! 

If the project IS a good fit, we then send over a custom proposal and get the client all set up in our systems if they decide to move forward.

STAGE #2 - PRE-PRODUCTION

The pre-production phase is where creativity meets logistics. During this stage of each production, we are diving deep into the logistical details of each production like location, timelines, talent, hair + makeup teams, production crew + gear, etc. Not only are we getting super clear on these details, but this is where we talk through all things creative. Think themes, storyboards, shot lists, set design, editing details, music style, text and graphics, etc. A big key in this phase is getting SUPER clear on what the final product is going to look and feel like. STAGE #3 - PRODUCTION

Time to get rolling - literally! The production stage is the actual filming that takes place. If you did your due diligence on the pre-production stage before this, everyone on set should feel super confident and comfortable with their roles and responsibilities. 

For our team, we put a big emphasis on creating a filming environment that is relaxed, stress free and most importantly, fun! There is a reason you hire a video production team, so making your client feel that they can relax and trust the process is key for our crew. 

STAGE #4 - POST PRODUCTION

The last stage of production is really where all the magic happens! This is where the editing team puts together the final product. From reviewing and selecting footage, to music + graphics to color grading + more - this is one of the most important parts of each production. The goal is to give the client exactly what they are imagining on the first round! Of course, there are always times that things need to be edited, moved around, etc. However, our team puts a big emphasis on delivering an amazing first draft based on all of the notes from the other stages of production. Once the client approves, that is officially a wrap!

6 things you need to start your video production business

One of my favorite questions to ask successful entrepreneurs is:

“If you had to start completely over in business, from ground zero, having all the knowledge that you have today, what is the one tool or resource you would use first to build your business?”

The answers I have gathered have been diverse, but one response left a lasting impression on me talking about how most people want the fast-track to success answer and the reality is great things are built overtime. In this world of instant gratification, it’s hard to want to accept that answer. I look back at my journey of building the good vibe media and studios over the last 15 years and know that I could have built a better business faster if I had more resources and community to lean on. I was a one-woman show for almost a decade before I took more risk to build a team and scale. I had absolutely no business background or education. I was just a free-spirited creative, who loved telling stories through video. 

So my hope for this blog post is that it will catch the eye of some hungry creatives and support them as they start their journey, turning their creative passion into a successful career.  

Here are the six things you need to start your video production business:

  1. Pre-Production gear

    1. Project management software like asana 

    2. Scheduling automation software like calendly 

    3. Software for invoicing and accounting like quickbooks or 17 hats

This first phase of the production process could arguably be the most important, and one you should feel most confident about. We actually did not implement asana within our workflow until a few years ago. I can tell you in full confidence that this project management software supported us to be more organized, and on top of pre-production logistics, which ultimately generated more time and revenue for our team.  That’s what we all wish we had more of, right? How can we create better systems to generate more time and money? It all starts with organized systems and processes. Utilize these resources to help you create more flow in your work, and automate portions of your pre-production process!

    3. Stabilizers / Tripods

    4. Lighting

When I started out in this industry 15 years ago, I was a Sony girl. Then, after graduating college, I turned to Canon. It wasn’t until three years ago. I was back to Sony. All that being said, your camera is your personal preference. I highly suggest renting cameras to play around and explore before you make a big investment of a purchase. If you are curious, here is what is in our Good Vibe kit:

3. Post production gear 

    1. external hard drive (we like the G-drives)

    2. Laptop (apple all the way)

    3. Adobe cloud subscription (you will be living in premiere)

So much magic happens in the edit, so make sure you have the appropriate equipment to support this process. I would suggest investing in a laptop so you can be mobile if needed. You can purchase an additional monitor to plug in at your home office for a desktop setting and more screen space. The external harddrive is key, because you will eat through space on your computer quick with all the footage you capture. Make sure all footage and project files are saved and working on your external, to leave your computer ram and space available to work without glitches.

4. Legal - contracts for clients, contractors, trademarking 

You can go to the grassroots style and find templates online and search the database for trademarking on your own, or hire a professional to support you. Either way, it’s incredibly important that you protect yourself and your business with these contracts. You also want to make sure you own your name and your business by trademarking. I have heard many horror stories of people having to re-brand completely because they did not trade mark their business name. 

5. Mentor, or business development community 

I did not realize how impactful this one thing could be on the success of my business until I really leaned into it in 2021. That year, my team and revenue tripled, and I know so much of that was because I found support and sought counsel from business coaches, mentors and community. I think one of the best things that we can do as business owners and entrepreneurs is to be humble and hungry to learn, grow and evolve more. One of the best ways to do this is to get in more rooms that are filled with people who motivate and inspire us in business. Ask more questions and expand your network, and I guarantee you will see the reward faster than you think. 

6. Grit and solution oriented attitude 

Again, we live in a world full of instant gratification. It’s common to crave short cuts and fast tracks to success, but be patient and have faith that the work you’re putting in now and the foundation you are creating is going to lead you to so much success as long as you stay consistent. Shift your perspective on failure, knowing that each one is an opportunity for growth. You want to fail on many things throughout your journey, so that way you can learn and grow and be a better version of yourself as a creative and business owner.

How to implement high quality video for your brand

When it comes to marketing + media, there is one thing I think we can ALL agree on - VIDEO CONTENT MATTERS. As we kick off 2023, there really aren't any excuses for not using some sort of video content within your business. No matter what industry you are in, the size of your business, what the platforms you are using, there is always a way and a reason to implement video.

Now, when it comes to creating content, there are endless ways to use video - from user generated content on Tiktok to tutorials on youtube to highly produced ads online or broadcast, the list goes on and on! 

On the blog today, we are sharing 3 things to help you start implementing high quality video for your brand. 

  1. Strategy + planning

As we know from experience, there is SO much that goes into producing one video. We know it can seem overwhelming, especially if you are doing on your own. However, we ALWAYS recommend starting with the strategy. Before anything else, ask yourself the following questions - 

  • What is the purpose of this video?

  • Where is this video going to live?

  • Who do I want this video to reach? 

  • What is the theme + vibe of the video?

  • What is the end goal?

Take some time to get clear on the strategy and “why” behind each high quality video you create. From there, you can get to planning. We won’t overwhelm you with the looooooong (but effective!!) pre-production list we use for our clients, but here is a good starting point. 

  • Where am I filming?

  • What day/time work best? (Think about light, sound, etc).

  • What am I going to say? Will you be creating scripts?

  • Who is going to be featured in the video?

  • What am I going to wear?

  • What props will be used, if any?

  • What do I want the final video to look like? 

Stuck on one of these points? There is nothing wrong with getting inspiration online from other brands + businesses. Spend some time doing research to find out what you like/don’t like. Once you have your plan set in place, you will feel so much better about creating your video content.

2. Gear

One of the biggest reasons people invest in a video production company is for the knowledge and professional feel of the videos. Filming equipment and softwares get VERY expensive, so we don’t blame you for not wanting to buy the best camera or editing programs. However, there are some easy (and even some free) steps you can take to make your video look and sound like its higher quality!

  • The Light - one of our biggest pieces of advice to anyone filming on their own is to position themselves in front of natural light. You can literally set up in front of a window!  If you are able, add a ring light or other source to help brighten up your subject!

  • The Sound - One aspect of a “high quality” video is the audio! Making sure you don’t have background noise, echos, static, etc will ensure a better viewer experience. One way you can do this is to purchase a microphone that connects to your phone, like this one. This is an easy and user friendly way to enhance your video for all talking head! Don’t forget to do a quick soundcheck before you start! Record yourself talking for 5-10 seconds and playback to make sure everything sounds good!! 

  • The Settings - If you are reading this blog, we are going to assume you are looking for ways to produce high quality video on your own! That might mean you are using your phone for filming - which is totally fair! Just remember, the high quality you film in, the more space it takes! Here are some basic settings we recommend for iPhone + Android to enhance your video content - 

    • iPhone or ipad

      • Go to Settings.

      • Tap Camera, then tap Record Video.

      • Select 4k at 24 fps

    • Android

      • Launch the camera application.

      • Tap the menu icon in the top left corner.

      • Select Settings.

      • Find the Video section and tap on Back camera video resolution.

      • Select UHD 4k and now you will be shooting 4K video.

3. The content

Last but not least, something that sets apart high quality video from the rest is the actual content. There is an endless list of video concepts you can customize and create for your brand! Here are 5 to get you started:

  • About Me video- introduce yourself, who you are + what you do

  • Client testimonial - have your clients share their experience with your brand

  • Onboarding video - a video you send to new clients once they book with you

  • Email newsletter video - create an update video to embed in your email newsletter

a letter from the founder: kicking off the new year

The ultimate goal in your career is to find something you love to do so much that you never feel like you have to “go to work” a day in your life, right? That is exactly how I felt when I discovered my passion for filmmaking and video production over 2 decades ago. I pursued my education in the technicalities of storytelling through video, however I had never taken a single business course in my life. I never sought out to be an entrepreneur or business owner, i just kinda found myself here because i kept showing up doing what i love and doing it on my own terms… I know I’m not alone. There are so many people who have that creative, entrepreneurial spirit when they find something they love to do so much. At the same time, it is easy to feel stuck, alone, unmotivated or uninspired. 

This is exactly why we have created this blog. We hope this will be a resource to many for inspiration, connection and growth by sharing video production tips, highlighting our community and revealing real life stories on how we operate a creative business in the bustling world we live in today. 

At the moment I am typing this, I am sitting on my couch with a big ‘ol belly curious if today will be the day my son is born. It’s been an interesting concept for me as a passionate business owner to take more time at home to prepare for maternity leave. So much of my identity and day-to-day life is wrapped up in my businesses, yet I understand the importance of being able to step away and trust the team and systems that are implemented will keep the train rolling while I bring another human into the world. 

I guess you could say owning a business is a lot like motherhood… you work so hard to birth and raise it and then there comes the day where you realize all the time and hard work you have poured into it is now its own incredible, sustainable, independent being. It still needs your TLC from time to time, but in order to really let it flourish, you must trust and then let it do the work. I am so grateful for the incredible team we have at both the good vibe media and studios and insanely proud of the passion they put into their craft for all of our clients. 

Alright, i’m now off my sappy emotional stand and want to shift gears to shed light on my perspective moving in to a fresh year as a business owner…

Here are the 3 things on my mind moving in to 2023:

NUMBERS

If you are a creative starting your own business you may relate to this… I had ZERO business background or knowledge when I first started my video production business. All I knew was my passion for filmmaking and made up the business concepts as I went. There were no systems or structure, my schedule was inconsistent and chaotic, and I was living paycheck to paycheck with SO MUCH uncertainty of what the future held. 

A few years ago I was seeking out business support and mentorship to help create more consistency and success within my company, ultimately creating more freedom and ease in my life. The dramatic shift and change I recognized with the growth of the company and security in all areas of my life was remarkable - what a concept! This is why knowing the numbers inside my business is now always on the forefront of my mind, especially entering a fresh year with new goals and expectations. 

What numbers do you want to look at?

  1. Profit & Loss Report - gather this report for each month, quarter and year so you can dissect the numbers and make comparisons.

  2. KPI - these key performance indicators will set the specific goals of what are you trying to achieve each month, quarter and/or year and then you can work backwards to calculate how you will reach those outcomes. 

  3. Time - how much time are you and your team spending on certain tasks and is there anything you feel like you can automate, eliminate or delegate for your list of to do’s that will free up time and space in your calendar?

COMMUNITY

Reflecting back on the last 2 decades of my video production career, I can hands down say that community has been one of the biggest factor of growth. I recognized early on that if there are pain-points within my business and/or life and I was craving change, I had to take personal responsibility to put myself in rooms with people who I strived to be more like in order to gather the answers to the questions of change that was swirling in my mind. A dear friend of mind coined the phrase, “you are not meant to do business or life alone” and I could not agree more. The more you lean in to community, the more abundance you will recognize in all areas of your life. That is, if you’re clear on selecting the appropriate community that maintains the values and goals aligned with your own. 

That said, think of 3 organizations, networking groups or institutions that are home to people you want to be more like and make an intentional effort to show up each month. For me, I seek networking groups with successful female entrepreneurs, organizations and charities that support youth or disabled, and fitness or wellness centers that are home to like-minded people who take ownership in creating a healthy lifestyle.

GROWTH

I recently attended a business development event where Tom Hatten, founder of Mountainside Fitness was one of the speakers. During his presentation he mentioned something along the lines of  “if your business is not evolving, it is dying, you just don’t know the date yet.” This rang a bell and reminded me how important it is to never stay stagnant and always seek ways to create change and evolution within my companies. I never want business to feel the same. I honestly feel like my team and I thrive off of challenges and expanding our limits with each production. Our industry changes rapidly with cameras and other technical gear, it’s important for us to be ahead of the curve and know what is new in the market so we can produce a product that sets our clients ahead of others in their industry. So I challenge you, what can you learn this next year that will push your business to the next level in your industry?

It doesn’t need to take a “new year” in order to reflect on these intentions within your business, but it sure is a fun and timely excuse to do so.
